2. Hosting and server logs
Our website is hosted by ALL-INKL.COM (Germany). When you access the site, technically necessary server log data is processed (for example IP address, time, requested URL and user agent) to ensure operation, security and error analysis. The legal basis is Art. 6 para. 1 lit. f GDPR.
3. No analytics / tracking
We do not use analytics or tracking tools for user profiles, reach measurement or advertising tracking.
4. Trial signup and magic link (Art. 6 para. 1 lit. b GDPR)
For the trial signup, we process only the data required for signup and date organization:
Confirmation happens through a time-limited magic link by email.
- Name, email, level, role, optional willingness to switch
- selected dates
- age group (16+ / under 16) and optionally an email address of the parent or guardian
- acknowledgement of the photo/video notice and, where applicable, objection (Art. 21 GDPR)
5. Member area (Art. 6 para. 1 lit. b GDPR)
In the member area we process data for member administration, date organization, attendance/check-in and contribution/payment handling.
6. Voluntary profile fields and WhatsApp opt-in
Phone number, Instagram and Facebook are not collected in the public trial form. These details can only be stored voluntarily in the member profile.
- A WhatsApp invitation is sent only when WhatsApp opt-in is active.
- If no WhatsApp opt-in is active, the phone field is not used.
7. External content (two-click)
On the homepage we load Instagram content only after an active click on "Load content". Only after this click is a direct connection to Instagram/Meta established.
You do not have to load external content: dates and locations are shown directly on our website and additionally through our own calendar feed.
8. Photo/video use for public relations (Art. 6 para. 1 lit. f GDPR)
We use photo and video recordings from training and club activities for documentation, training clips and public relations work (website/social media).
- The same opt-out process applies for trial participation and membership: notice read (required), objection optional.
- An objection under Art. 21 GDPR is possible at any time: online in the profile and on site by informing the trainer team.
- If no profile access exists, an email to the board is sufficient.
- For video recordings we use visible notices and take camera-free zones into account.
- If an objection is active, no targeted recordings of the affected person are made.
- Minors under 16: publication only with consent of the parent or guardian.
- Removal on request: usually within 5 working days; in urgent cases we pause publication immediately until clarification.
9. Storage duration
- Trial data: generally 6 months after the last booked/attended date.
- Member data: for the duration of membership.
- Tax and accounting-relevant documents: according to legal duties (depending on the document 6/8/10 years).
10. Disclosure
- No commercial disclosure of personal data.
- Use only for internal club purposes.
- Technical processing may take place through hosting, mail and infrastructure service providers.
